Workflow for Research Grants – From Idea to Funding

Do you know the exact steps to turn your research idea into a funded project?
Many researchers are uncertain about where to begin, what support is available, and how to align their ideas with suitable funding opportunities. To address this challenge, we created a visual guide to make the process transparent, accessible, and easy to follow.

This internal project, initiated by TU Delft, focused on designing a comprehensive infographic that clearly outlines the workflow for applying for research grants. The goal was to support academic staff—especially early-career researchers—by visualizing each phase of the grant application process:

  • Identifying appropriate funding opportunities
  • Consulting institutional support services
  • Drafting and refining proposals
  • Submitting through the correct channels
  • Following up after submission

We approached the project with clarity and usability in mind. Working part-time over several weeks, the NMC Graphics team collaborated closely with the project owner to define the structure and content. Frequent feedback loops helped ensure the information was accurate, up to date, and aligned with internal policies.

The design was developed using Adobe Illustrator, with two key outputs:

  • A high-resolution version for print (suitable for office spaces or informational displays)
  • A web-optimized version for digital use, accessible through the TU Delft internal website

“Through clear visuals, the funding process becomes a roadmap that guides your idea to impactful discovery.”

Special care was taken to create a logical visual hierarchy, using color and layout to guide the reader through the sequence without overwhelming them. Icons and symbols were used to emphasize decision points, deadlines, and support services available throughout the process.

The final infographic now serves as a practical reference tool for researchers across the university. Whether someone is starting their first proposal or seeking clarity on institutional workflows, the guide provides a clear overview that helps reduce uncertainty and administrative friction.

Are you currently writing or planning a proposal?
Take a look at the infographic and see how it can support your journey from idea to funded research.
